Our Venue Coordinators

Our team works with you to organize your dream wedding

We have a team of Coordinators and one will be assigned to your wedding date. Our wonderful Venue Coordinator works with you to make your wedding go smoothly and helps you understand what you need to know about the venue. They meet with you at the venue for your Walk Through 2-3 months before your wedding and go over final details with you. On the wedding day, they are the point of contact for your vendors and guests to help the day go smoothly. They also do the set up of all our tables, chairs, and decor, and navigate the turnover for the guests and vendors.

Contact with the Coordinator:

  1. We will email an introduction between our admin team, Halie (our Operations Manager) and your Coordinator when we book your Walk Through. Our Admin team works closely with the Coordinators so you’ll be in touch with both the Admin and Coordinator even after you’d been introduced to your Coordinator.

  2. Three months before your wedding, we will reach out to book a Walk Through. This is a One hour appointment at The Pendennis to discuss our decor (what you are using), your day-of timeline, your vendor list and their roles, as well as give you a refresher tour at the venue. Your coordinator will start with a tour, then sit down with you to go over the details. After your Walk Through, you have an additional 30 minutes to take photos, walk around with your partner, or invite any vendors who want to see the space.

  3. The Rehearsal is a one-hour time slot available in the Platinum Package, and two hours for the Luxury Package. Your coordinator will be there to help facilitate the rehearsal and answer questions. The Rehearsal is subject to availability and can be scheduled within 30 days of your wedding. If we receive a booking for this date/time, we will work to re-schedule you to the best of our ability. Please be aware, we do often book up 4-5 days a week during our busy season (May - January).

Before the Wedding our Admin Team:

-        Helps you plan the Ceremony layout

-        Helps you plan the Reception Layout

-       Works with you to create your day-of timeline by providing input once you have confirmed details with your vendors. Please see our recommended timeline information here.

-        Works with your vendors to ensure everyone knows what to do and what to expect.

-        Help Identify any flaws in the planning and any details you may be missing.

 

The Day of: Your Venue Coordinator

-        The point person for vendors. Please give out your coordinators phone number to any vendors arriving on your wedding day. We keep the doors locked except 30 minutes before and after your ceremony start time.

-        Sets up our décor and furniture for the Ceremony

-      Coordinates the change-over

-        Sets up our décor and furniture for the Reception

-        Lights candles

-        Ensure everything runs smoothly and helps direct guests and vendors

-        Are available until after the first dance.

Please note* Coordinators do not help you plan the wedding, manage budgets, vendors, or otherwise fulfill the role of Wedding Planner. Those services are available as an addition to our Luxury package, please contact Halie if you’d like to know more!
